Sending an email to a client
Compose and send emails directly from Prospo. Emails go through your connected Microsoft Outlook account and appear in your Sent folder. You can compose from a client's profile, from the global inbox, or reply to an existing thread.
Compose from a client's profile
- Open the client's profile and click Email
- Click Compose email in the top right
- The To field is pre-filled with the client's primary contact - add or change recipients as needed
- Fill in the subject and body, then send


Your email signature is appended automatically when composing from a client's profile.
Compose from the global inbox
- Go to Email in the sidebar
- Click Compose at the top of the folder panel
- Fill in all fields manually
Compose form fields
- To - required. Search and select from your organisation's contacts
- CC - optional. Additional recipients
- Subject - required
- Body - rich text, supports bold, italic, tables, images, and links
AI-assisted drafting
Click Generate with AI to have Prospo write a draft. Type a natural instruction - for example, "Write a follow-up email after our annual review meeting" - and Prospo generates both a subject line and body based on the client context. Review and edit before sending.
Attaching files
Click the attachment button in the compose toolbar to attach files from your computer or from the client's files in Prospo. The total attachment size cannot exceed 25 MB per email.
Drafts
Prospo automatically saves your draft every 10 seconds while you're composing. You can also click Save manually. Drafts are accessible from the Drafts folder in your inbox. To discard a draft, click Discard.
Replying and forwarding
Open any email and use the action buttons in the detail panel:
- Reply - reply to the sender only
- Reply All - reply to the sender and all recipients
- Forward - send the email to a new recipient
The compose panel opens with the relevant fields and quoted message pre-filled.
