Managing clients
Clients are the organisations or individuals your practice manages. Creating a client is a two-step process - first you name the client and choose their entity type, then you link the people associated with them.
Creating a client
Step 1 - Client details
Click Add Client from the dashboard or the Clients page. Enter the client name and choose their entity type, then click Continue.
Step 2 - Add contacts
Contacts are the people linked to this client - the individuals Prospo will address in emails, meeting invites, and documents. Enter their name, email address, phone number, and relationship to the client.
If the person already exists in Prospo, type their name or email and select them from the search results rather than creating a duplicate. Prospo will alert you if it finds a possible match.
You can add more than one contact by clicking Add another contact. When you are done, click Create Client. If you want to add contacts later, click Skip for now and link them from the client profile at any time.
Adding more details
Once the client is created you can open their profile to add further information such as their address, reference date, and client status. Company clients also have fields for industry and company size.
Good to know
Client names cannot be purely numerical.
On a free plan the number of clients you can create is limited - contact your Org Admin if you reach this limit.
The person who creates a client is automatically assigned as an adviser on that client.
Editing a client
From the Clients page
Find the client in the list and click the Edit icon on their row. Make your changes and click Update Client.
From the client profile
Open the client's profile, click Edit in the header, make your changes, and click Update Client.
Click Show Additional Details in the edit form to reveal the address, status, and other profile fields.
Editing contacts
Contacts are managed separately from the client record. To add, edit, or unlink contacts, open the client profile and use the Linked Contacts panel on the right side.
Deleting a client
Go to the Clients page and find the client.
Click the delete icon on their row.
Click Delete to confirm.
The client is removed from your active list immediately.
What happens to linked data
Meetings, File Notes, and transcripts are removed from your active records.
Files and documents are removed from storage.
Adviser assignments are permanently removed.
Contacts are unlinked from the client but not deleted - they remain in Prospo and can be linked to other clients.
Recovering a deleted client
If you need to recover an accidentally deleted client, email support@prospo.ai with the following details:
The client's name
Approximately when they were deleted
Your organisation name
Submit your request as soon as possible. Deleted clients cannot be recovered after 90 days.
Unlinking a contact instead of deleting
If you only want to remove a contact from a client without deleting the client itself, use the Unlink option in the Linked Contacts panel on the client profile. This removes the relationship without deleting either record.
