Sending a document for e-signature
Send documents directly from a client's Files page to collect legally binding e-signatures. Recipients receive an email with a secure link to review and sign. Prospo tracks the status through to completion.
Send a document for signing
- Open the client's profile and click Files
- Upload the document if it's not already there - supported formats: PDF, DOCX
- Click Send for Signing on the file
- Add signing recipients - each recipient needs a name and email address. At least one recipient is required.
- Place signature fields on the document - drag fields onto the pages where each recipient needs to sign, initial, or date
- Click Send



Each recipient receives an email with a link to open and sign the document. The file status in Prospo updates to SENT immediately. Once all recipients have signed, the status changes to COMPLETED and a signed copy is saved to the client's Files page.
Track signing status
Open the client's Files page and find the document to see its current status:
- SENT - sent to recipients, waiting for signatures
- COMPLETED - all parties have signed
- VOIDED - the envelope was cancelled before completion
Click the document to see which recipients have signed and which are still pending.
Void an envelope
You can void a document at any time before it reaches COMPLETED status. Voiding cancels the signing request and notifies all recipients.
- Open the client's Files page and find the document
- Click the More (⋮) icon on the file row and select Void
- Confirm the action
A voided document cannot be reopened. Upload a new version and send it for signing again if needed.
Troubleshooting
- "Send for Signing" not available - The file format is not supported. Only PDF and DOCX files can be sent for e-signature.
- Recipient didn't receive the email - Ask them to check their spam folder. Resend from the file's More (⋮) menu if needed.
- Document signed by some but not all - The envelope stays in SENT status until every recipient has signed. You cannot remove a recipient once the envelope is sent.
