Importing contacts from Zoho CRM
Once Zoho CRM is connected, you can import your contacts directly into Prospo. The import runs in two steps: select the contacts you want, then map each one to a Prospo client record.
Zoho CRM must be connected by your Org Admin before you can import. See Connecting Zoho CRM.
Select contacts to import
- Go to Contacts - Import Contacts
- Select Zoho CRM from the source list
- Prospo loads your Zoho contacts - use the search box to filter by name or email if needed
- Select the contacts you want to import using the checkboxes, or tick the header to select all
- Click Next: Map Clients

Map contacts to clients
For each contact, choose how it should be linked to a Prospo client record:
- New Client - creates a new client record linked to this contact. Set the client name, entity type, and relationship type.
- Link Existing - links the contact to a client already in Prospo. Search by client name.
- Skip - imports the contact without linking to a client. You can link them later from the contact's detail panel.
Click Import when done.
What gets imported
- First name + last name - Contact name
- Email - Email (required - contacts without email are skipped)
- Mobile or phone - Phone
- Date of birth - Date of birth (KYC)
- Title - Title
Duplicate detection
If an imported contact matches an existing Prospo record by email or name, Prospo flags it before completing the import. Choose Merge to fill in missing fields on the existing record, or Create as New to add a separate record.
See Understanding duplicate detection during import for more detail.
Import summary
Once complete, you'll see a confirmation showing how many contacts were processed - for example: "8 contact(s) processed successfully! 2 merged, 6 created. 5 contact(s) linked to clients."
If any client links failed, you'll be prompted to add them manually from the contact's detail panel.
