Generating a PowerPoint presentation from a meeting

Generate a branded Microsoft PowerPoint presentation from any meeting's File Note. Prospo builds the file using your organisation's template and saves it to the client's Files page. It also downloads to your device immediately.


Before you begin

A File Note must exist for the meeting. The presentation is populated from the File Note content. If no File Note exists yet, generate or write one first.


Steps

  1. Open the meeting record from your dashboard.
  2. In the right panel, open the File Note you want to use as the basis for the presentation.
  3. Click Generate Presentation.
  4. When complete, a dialog appears with three options:
  • Download Presentation - downloads the .pptx file to your device
  • Go to Files Page - opens the client's Files page where the presentation has been saved
  • Close - dismisses the dialog (you can still find the file in the client's Files page)


What goes into the presentation

  • Your File Note - the content of the active File Note becomes the slide content
  • Your organisation's PowerPoint template - controls the layout, design, colours, fonts, and branding

The presentation is a .pptx file you can open and edit in Microsoft PowerPoint or any compatible application. It is not a live preview inside Prospo.


File name and storage

The downloaded file is named in the format: Meeting Title slides 1.pptx. The number increments if multiple presentations have been generated for the same client.

The presentation is automatically saved to the client's Files page in Prospo under the PowerPoint file type.


Presentation templates

If your organisation has not uploaded a custom template, Prospo uses a built-in default template automatically.

To upload a custom template, an Org Admin goes to Admin - Templates - PowerPoint Templates and uploads a .pptx file.

Templates must be Slide Master templates. Do not upload a regular presentation with slides, colours, or content elements as a template. A valid Slide Master template contains only layout and design definitions, with no actual slides.


Troubleshooting

  • Generate Presentation button is greyed out - a File Note is currently being saved. Wait a moment and try again.
  • Presentation generated but content looks wrong - the presentation uses the File Note content at the time of generation. Edit the File Note and generate again to produce an updated version.
  • Presentation layout looks unexpected - check that the uploaded template is a Slide Master file, not a regular presentation. Ask your Org Admin to review the template in Admin - Templates - PowerPoint Templates.
